Caring Hands Clarendon is hiring a full-time Internal Medicine Coordinator to work alongside our team of experienced veterinarians, skilled technicians, and devoted support staff to ensure each animal receives the best possible care during their stay with us. Salary: $25-$30/hr based on experience and skillset.
Schedule: Will work full-time hours Monday-Friday 8:00 AM-5:15 PM
Job Overview:
The Referral Coordinator will be a key liaison between our veterinary internal medicine specialist, referring veterinarians, pet owners, and our medical staff. You’ll play a critical role in ensuring seamless communication, efficient scheduling, and the highest level of customer service as we coordinate care for referred patients.
Key Responsibilities:
- Coordinate Patient Referrals
Manage and facilitate the referral process for pets being sent to the IMED Department, ensuring accurate and timely transfers of medical records, case history, and any relevant information from referring practices. - Scheduling & Appointment Coordination
Schedule appointments for new and returning patients according to set protocols and provide owners with necessary pre-visit instructions. - Client and Referring Vet Communication
Serve as the primary point of contact for referring veterinarians, pet owners, and internal team members. Provide updates and answer appointment- and procedure-related questions. - Case Tracking & Documentation
Maintain organized records of all referral cases, including patient information, follow-up care, and communications. Obtain relevant records from referring and specialty hospitals and update patient charts. - Administrative Support
Assist the IMED team with administrative tasks, such as preparing and sending medical records and handling insurance inquiries. - Customer Service
Provide exceptional customer service to both referring veterinary professionals and pet owners. Handle any concerns or inquiries with professionalism and empathy. Our clients are concerned and often stressed about their pets’ health; patience is a MUST!
Qualifications:
- Experience:
Previous experience in a veterinary office, customer service or medical administration is highly preferred. - Passion for Animals AND Customer Service:
A genuine interest in animal health and well-being. Our clients (owners) are incredibly dedicated to the health and happiness of their pets, and they need to know you care! - Communication Skills:
Strong verbal and written communication skills to interact professionally and compassionately with clients, referring vets, and internal teams. - Organizational Skills:
Excellent organizational skills and attention to detail is required to manage multiple cases and maintain accurate records. - Technical Proficiency:
Comfort with using Avimark software and Microsoft Office, and ability to learn new systems quickly. - Problem-Solving Skills:
Ability to manage complex situations, prioritize tasks, and solve problems with a patient and solution-oriented approach.
Preferred Qualifications:
- Veterinary Technician or Assistant Experience
A background as a veterinary technician or assistant is a plus, as it can enhance your ability to understand medical terminology and complex cases. - Administrative Assistant Experience
